Fathom
Fathom is an AI meeting assistant that records, transcribes, and summarizes video calls—and its free plan is among the most generous of any AI tool in this space. It is especially popular with salespeople and consultants who want clean, CRM-ready call summaries without a complicated setup.
What it is
Fathom is a free-to-start application that installs as a desktop app (Mac and Windows) and integrates with Zoom, Google Meet, and Microsoft Teams. When you join a call, it records and transcribes in real time, then generates a structured summary after the meeting ends. Summaries include key points, action items, and a full transcript—you can also highlight moments during the call with a single click to mark important segments. The paid plan adds CRM sync, team sharing, and additional AI features.
What it’s best at
- Producing clean, structured meeting summaries that are immediately useful without editing
- One-click moment highlighting during a live call to flag key quotes or decisions
- Syncing call notes automatically to HubSpot, Salesforce, and other CRMs on paid plans
- Sharing call recordings and summaries with people who were not on the call
- Providing a genuinely usable free tier with unlimited recording and transcription
How operators use it
A freelance consultant uses Fathom’s free plan for every client discovery call. After each session, they copy the AI summary into their proposal template—it already captures what the client said they needed, in their own words. A sales rep at a small B2B company uses Fathom’s CRM sync so that call notes land in HubSpot automatically after every prospect conversation, eliminating the post-call data entry that was previously eating 15 minutes per meeting. A founder shares Fathom recordings with team members who could not attend key calls, replacing the “here’s what happened” Slack message.
Getting started & pricing
Fathom’s free plan includes unlimited recording, transcription, and AI summaries—there is no cap on meetings or storage. This is the most compelling free tier in the meeting AI category as of 2025. The Premium plan ($19/month) adds CRM integrations, keyword alerts, advanced AI features, and the ability to ask questions about past calls. The Team Edition adds shared call libraries, admin controls, and team analytics. The free plan is sufficient for most solo operators; teams dealing with CRM data entry should evaluate the Premium upgrade.
Bottom line
For any operator who takes regular video calls and is not yet using an AI notetaker, Fathom is the first tool to try—the free plan removes all financial risk. The summary quality is strong and the UX is cleaner than most alternatives. Its main limitation is that it requires a desktop app installation and does not have as robust a mobile or in-person recording use case as Otter.ai. For online meetings, which is most of what operators run, it is hard to justify paying for a competing tool when Fathom’s free tier covers the core need.
